Case study · V-TAC Poland

How V-TAC moved its entire business
into a single system.

A distributor with a broad product range. B2B sales, an online store, dropshipping through partners, SAP Business One, its own warehouse and thousands of shipments a month. All of it runs on AllSync today.

01 · Challenge

The company grew faster
than its tools.

Day-to-day life will sound familiar to any distributor. Orders came in by email, through the online store and from partners, and then someone had to enter them by hand, issue a pro forma, chase the payment, book a courier and re-key everything into SAP.

The same data typed in two or three times: in the store, in SAP and in spreadsheets.

“Have they paid yet?”: digging through bank transfers every single day.

Selling stock that wasn’t there, because SAP stock levels didn’t reach the sales channels in time.

A board report meant half a day stitching together spreadsheets from five sources.

02 · Solution

Area by area,
no big-bang rollout.

AllSync didn’t replace V-TAC’s systems. It connected them. SAP stayed SAP, the store stayed the store, the bank stayed the bank. What disappeared was everything in between: re-keying, chasing and guesswork.

Orders and pro formas

Every order, whether it comes from the store, a partner or customer service, gets a number and starts moving immediately. The PDF pro forma goes to the customer automatically, with the order number in the payment reference. The whole company sees the status, not just one inbox.

Banking and receivables

AllSync reads bank transfers and matches them to orders on several levels: IBAN, payment reference, order number and the amount, down to the cent. Orders turn green without accounting lifting a finger. The receivables list shows at once who’s overdue and since when.

SAP and warehouse

Stock levels from SAP Business One are visible live in every sales channel. The warehouse knows what to pack, and sales never promise stock that isn’t there.

Couriers and shipping

GLS and Raben labels are created right from the order, with no logging in to carrier portals. Customers get a tracking link automatically, and customer service no longer fields “where’s my parcel?” questions.

Invoices and KSeF

Domestic invoices flow from KSeF, Poland’s e-invoicing system, straight into AllSync, linked to customers, suppliers and payments. Accounting has every document without asking anyone to “send over the invoice”.

Partners and dropshipping

B2B partners have their own portal, where they place orders and check statuses, invoices and balances themselves. Calls “about an order” have halved, and dropshipping runs from cart to label with no manual work.

AI assistant

“How much did we sell in May?”, “Who’s more than 14 days overdue?”, “What’s happening with order 4471?”. Management and staff ask in plain language, and the assistant answers with specifics from real data. By voice or text, from a phone too.
